1. Refund & Cancellation Policy

We understand that travel plans can change. Our refund and cancellation policy is designed to be fair and transparent, ensuring peace of mind while you prepare for your journey.

🧾 Booking & Payment Guidelines

  • A 30% advance payment is required to confirm your booking.

  • An additional 50% must be paid at least 15 days before departure.

  • The remaining balance (100%) must be cleared before the trip begins.

❌ Cancellation & Deduction Structure

If you choose to cancel your booking, the following charges will apply:

  • 25 days or more before departure: 25% of the total amount will be deducted.

  • 15 to 24 days before departure: 40% deduction.

  • 7 to 14 days before departure: 75% deduction.

  • Less than 7 days / No-show: No refund (100% forfeited).

💸 Refund Timeline

Refunds, after applicable deductions, will be processed within 24 working days from the date of cancellation.

🚨 Cancellation by Us

If the tour is cancelled by Spectrum Tour-Travels (due to minimum group size not being met or unavoidable circumstances), you will receive a full refund or an alternative tour arrangement at no additional cost.


2. Privacy Policy

We value your trust and are committed to protecting your personal information.

🔐 Data Collection & Use

We collect essential details such as:

  • Full name, contact information, government ID proof

  • Emergency contact details, dietary and medical preferences

This information is used solely for:

  • Booking travel arrangements (transport, hotels, meals)

  • Ensuring group safety, security, and comfort

🔒 Confidentiality Commitment

  • We do not share or sell your data to third parties, unless necessary for travel coordination.

  • Your data is stored securely and accessed only by authorized personnel.

  • You may request data deletion upon trip completion by contacting us via email.

📧 Consent

By submitting your booking form and joining the tour, you consent to the collection and limited use of your information as described above.


3. Terms & Conditions

These terms are intended to ensure a safe, enjoyable, and well-organized experience for all participants.

🏨 Accommodation & Travel

  • Accommodation is arranged on a twin/triple sharing basis, unless otherwise requested.

  • Single occupancy or specific requests (e.g., extra beds) should be mentioned in advance and may involve additional charges.

  • Comfortable, standard AC/Non-AC vehicles will be used depending on the tour type and location.

🪪 Identification Requirements

  • All travelers must carry valid government-issued identification (e.g., Aadhar Card, Voter ID, Passport).

  • Failure to produce ID may result in denied services without refund.

🩺 Health & Medical Fitness

  • Travelers must ensure they are physically and medically fit to travel.

  • Any chronic illness or special medical condition must be disclosed at the time of booking.

  • Spectrum Tour-Travels is not liable for any medical issues, emergencies, or associated costs.

🎒 Luggage & Belongings

  • Each participant is responsible for their personal belongings.

  • Spectrum Tour-Travels is not responsible for any loss, theft, or damage to luggage.

🚫 Code of Conduct

  • Courteous behavior is expected throughout the tour.

  • Consumption of alcohol, drugs, or disruptive behavior may lead to removal from the group without refund.

👶 Child Policy

  • Children under 5 years: Travel free of charge (no separate seat or bed).

  • Children aged 5–11 years: Charged at 60% of adult fare, no extra bed included.

  • Children 12 years and above: Charged at full adult fare.

  • Age proof is required at the time of booking.

👵 Senior Travelers

  • Senior citizens (60+ years) are advised to travel with a companion.

  • A fitness certificate from a doctor is recommended.

🛫 Changes & Force Majeure

  • The itinerary is subject to change due to weather, political events, operational delays, or other unforeseen reasons.

  • Any additional costs arising from such changes must be borne by the traveler.

⚖ Legal Jurisdiction

  • Any disputes arising from this agreement shall fall under the legal jurisdiction of the Hooghly District Court, West Bengal.
